Billing Terms

Billing Terms govern how the platform invoices contractors for coordination services, prevents duplicate billing, processes payments through approved adapters, and audits financial actions.

1. Free for Clients

Submitting a service request, receiving dispatch, and tracking your request is FREE for clients. Clients are never charged a platform fee.

2. Contractor Plans

Contractors choose a plan (Starter, Pro, Business). Each plan defines monthly coordination volume, premium routing access, and feature entitlements. Plan pricing is shown in-app and on the Pricing page.

3. Adapter-Agnostic Processing

Payments are processed via approved billing adapters (manual_review, external_hosted). The platform supports clean swaps between adapters without changing user-facing behavior. The active adapter is logged on every invoice.

4. Invoice Lifecycle

Invoices move through: open → pending → paid / void. Each transition is audit-logged with timestamp, actor, and adapter. Voided invoices cannot be paid; new invoices must be issued for any retry.

5. Duplicate-Billing Safeguard

The platform actively blocks duplicate subscribe requests within a deduplication window. If a duplicate is attempted, the existing pending invoice is returned (resume checkout) and a 409 is emitted server-side.

6. Receipts & Records

Each successful payment generates a receipt with: invoice id, plan, amount, currency, adapter, paid timestamp, contractor identity, and tax (where applicable). Receipts are downloadable from My Billing.

7. Card on File

Where adapters support stored payment methods, customers may opt-in. The platform stores ONLY adapter-issued tokens, not raw card numbers. PCI scope is delegated to the adapter.

8. Billing Disputes

Billing disputes follow the Refund Policy workflow. Refer to /legal/refund.

9. Taxes

Each contractor is responsible for their own tax reporting, sales tax collection where applicable, and remittance. The platform does NOT compute or remit contractor taxes.

10. Audit Trail

All billing actions (subscribe, void, approve, refund, partial refund) are written to an append-only audit log accessible to authorized administrators.
